Connecting the construction site and the office

How a installation contractor can connect the site, supply chain, engineering and documentation team, and project manager through a single workflow without replacing all accounting systems.

By Artem Korsakov ·

Construction company automation begins with a clear answer: what decision must the office make based on site information, and what will the site receive in return? If a foreman fills out a form while a supply specialist continues collecting requests by phone, additional services only increase the workload. For a installation contractor at an industrial site, it is more useful to first link one route: the requirement, responsible party, decision, and confirmed result.

Why an industrial site requires its own logic

A contractor may have teams working simultaneously on electrical systems, ventilation, and process piping. A single status of "project in progress" is insufficient. For each section, key factors include an available work front, current working documentation, material availability, and readiness of adjacent contractors. Equipment may be supplied by the client, consumables purchased by the contractor, and machinery provided by another organization.

In the proposed model, each operational question is linked to a specific work package: project, building/structure, system, section, and responsible party. The depth of this structure is chosen according to the company's needs. If a foreman cannot quickly find their section, an excessive reference book hinders as much as its absence.

Descriptions of industry systems confirm the need for linked data: 1C (a Russian accounting and ERP platform):ERP USO integrates schedule, resources, and execution accounting. This is an example of a process structure. A small contractor does not necessarily need to implement a full-scale ERP system immediately.

Who transmits information and who makes the decision

Before development, it is useful to analyze one real question from last week. Who raised it, where was it recorded, who received it, and how did they learn about the result? If the chain ends with "we called each other later," this exact transition deserves closer study.

For the first version, roles can be distributed as follows:

  • The foreman records requirements, completed volumes, and obstacles on their section.
  • The supply specialist is responsible for availability options, confirmed dates, and discrepancies upon delivery.
  • The engineering and documentation team verifies technical linkage and completeness of agreed data.
  • The Project Manager makes decisions regarding priorities, responsibilities, and escalation.
  • The Client Representative receives only the agreed set of external issues and documents.

The role scheme is approximate; each company refines it. In a small company, one person may combine several functions. It is important to preserve different types of decisions, even if they are made by one employee.

Where industrial construction automation begins

A practical start for automating industrial construction: a material request or a daily summary of obstacles. The first option is suitable if the manager constantly checks delivery locations. The second is suitable if the office learns about work stoppages only after the shift ends.

The card requires an identifier, project name, section, author, date, responsible party, required action, response deadline, and attachments. For an obstacle record, it is useful to separately store the cause, affected work, and next step. A "no permit" record must allow understanding of who is clarifying access conditions and when a response is expected.

For a hypothetical example: a installation crew cannot continue work on a section due to the absence of an agreed decision regarding a node. The foreman attaches a photo and a link to the drawing. The engineering and documentation team clarifies the issue, and the Project Manager directs it to an authorized representative. After the response, the site receives a notification with a specific version of the decision. The situation is hypothetical; no actual project exists behind it.

Document, file, and current version

Data exchange between the site and office cannot be built solely on file names. "New final scheme" does not explain for which section it was released or whether it can be used in work. The card must include a code, version, date, author, and document purpose.

In the EXON knowledge base, the processing of a set of working documentation, release for production, and contractor acceptance are described separately. For a small service, the principle here is useful: uploading files and allowing their use across different events.

A simple product can store links to an agreed repository and transfer history. It does not need to display complex models or compare drawings. First, it is necessary to eliminate the situation where an interface silently replaces an agreed document with a new upload.

Handling connectivity, access, and exceptions

Before the pilot, verify whether a phone can be used at a specific site, what restrictions exist on photography and document placement. Confidential client materials cannot be automatically transferred to an external service just because it is more convenient for the team.

On a site with weak connectivity, the form should show what was saved locally and what has already been sent. If offline mode is not part of the first version, this must be explicitly stated and a backup submission channel selected. A lost photograph is more dangerous than the absence of an offline promise.

Pre-define substitution for leave, transferring questions to another responsible party, and the procedure for correcting erroneous records. For contractors, configure visibility by their projects and work packages. Deleting a user must not destroy the history they created.

What product is realistic for the first launch

A working first version includes a mobile form, registry, filters by projects, roles, notifications, and change logs. The manager sees unanswered questions and overdue actions; the foreman sees decisions for their records. Export to a table allows independent verification of data regardless of the interface.

Managing construction projects is significantly broader than such a product. Estimates, financial accounting, information modeling, and construction control require their own tools and competencies. Integration with an accounting system is added after verifying reference books, access rights, and exchange rules. The mere fact of an API's availability does not mean ready integration.

AI as a helper between site and office

The input can be the foreman's text: "Section EOM-2 has no agreed scheme; the team is waiting for a version after changing the node." The model extracts the project, section, type of obstacle, affected work, and required response. The output is a draft card with separate fields and notes on what is missing. Unknown deadlines remain empty.

The foreman confirms the recognized data, and engineering and documentation team checks the document and technical context. A working task with a responsible party is created only after verification. AI can prepare a summary of similar obstacles for the manager, preserving links to original records. A discussion can be scheduled based on the summary, but work continuation cannot be automatically authorized.

If a company already maintains working documentation in EXON, its review is best left there. An add-on can accept the site's message and store a link to the document. The linkage looks like this: message → AI draft → verified task → link to solution in the active repository. Exchange with 1C or EXON requires checking available interfaces; during the pilot, agreed exports are possible. First, check if the task can be solved by configuring existing software.

For the pilot, compare extracted fields with manual tagging of several typical messages. In addition to correctly filled values, look for false assumptions, especially regarding sections, documents, urgency, and responsible parties.

How to verify the benefit of a pilot

Before launch, collect initial observations: how many questions arise, where they are lost, how much time is spent clarifying them, and which stage causes the most delays. During the pilot, measure the time until a responsible party is assigned, time until resolution, and the share of records returned due to missing data.

Separately evaluate site workload: time to fill out forms, number of repeated entries, and need for additional calls. Reducing report generation time does not equal a reduction in construction duration. In conclusions, show only the changes that could actually be measured.

What to control if project conditions worsen

For an industrial contractor, the link between external changes and specific work fronts is critical. Consider a scenario: equipment delivery is postponed, the installation section is not ready, and part of the team and machinery may remain idle. Another scenario: the client changed their decision, but the price for additional work is not yet agreed. These are analyzed as separate events; a general mark of "crisis" only obscures them.

In the registry, it is useful to link changes to the project, work, required date, responsible party, and possible consequences. AI helps analyze supplier letters and foreman reports, extract affected work, and prepare a list of questions. The engineering and documentation team confirms technical linkage; the Project Manager determines further actions. Downtime costs and impact on schedules are calculated only based on agreed data; the model's guesswork is not suitable here.

Check several management options: wait for delivery, move the team to an available front, or request agreed replacements. Each requires a source of evaluation, decision owner, and review date. The system helps compare consequences; technical feasibility and changes to obligations are confirmed by authorized project participants.

When a report is not enough and a decision is needed

Imagine a shutdown maintenance on an operating enterprise: the window for connection is limited, access depends on the client, and the team and lifting equipment are already scheduled. A notification "approval is overdue" is too general. The manager needs a linkage: which operation depends on the answer, when the available window expires, who to escalate to, and what next front can be checked.

The question card can store three dates: when the obstacle was discovered, when a response is needed, and when work plans will change without it. The Project Manager confirms the last date. An automated service compares dates and highlights records requiring attention. AI collects a brief explanation from messages and links to them. Decisions on access or team relocation remain with responsible participants.

If a client's letter has already changed the deadline, but the site is working according to an old version, the summary must show a conflict of sources. The employee selects the actual basis and records the reason. The rule "the last letter is always correct" does not apply: a later response may relate to another section or be preliminary.

In an educational example, three sections might have the same status: "in progress." However, for EOM-2 there is no working documentation, for piping access is not confirmed, and ventilation is only partially supplied with materials. These are three different actions for different participants. The service links each open condition to a task, source, and responsible party. A project readiness percentage scheme does not calculate it nor authorize starting work: a meeting based on it discusses specific blocking issues.

Which data to link first

For a pilot, a general project code and work package number, question number, and document link are sufficient. There is no need to start by merging all company reference books. Check three transitions: whether the record reached the executor, if the response is linked to the original question, and if the author received an actual decision.

Each field must have an owner. For example, engineering and documentation team maintains links to documentation, supply confirms delivery dates, and the Project Manager determines priorities. The add-on shows the date of the last verification, and in case of exchange errors, saves the record in a queue with a clear status. Thus, the assistant removes manual searching between systems without creating a second competing set of decisions.

Частые вопросы ### Is it necessary to transfer all data from 1C?

No. For a narrow pilot, an agreed export of reference books and manual verification can be used. Continuous exchange is designed separately, with a data owner and error handling.

Can client access be granted immediately?

Yes, after agreeing on the composition of visible data, roles, and order of external decisions. Internal comments and commercial conditions must not be opened along with the request status.
