An AI assistant on a website can search for answers in approved materials, clarify requests, and transfer conversations to employees. However, the task must be chosen based on what the business can verify. A free-form answer to any question looks impressive in a demo but poorly defines responsibility boundaries in actual operation.
Start with repetitive situations where information already exists: delivery terms, service composition, and application procedures. If rules are stored only in employee memory and change regularly, materials must be organized first. Connecting a model does not replace this work.
Select a Limited, Useful Task
For a hypothetical equipment servicing company, the assistant explains where to find the device serial number, what data to attach to a request, and how to contact the dispatcher. It does not confirm the cause of failure, promise an arrival time, or modify contract terms. This scope allows evaluating usefulness without handing over decisions to a machine that lacks the authority for them.
Another task involves catalog navigation. The assistant can ask clarifying questions and suggest relevant sections according to predefined rules. If a choice requires specialist verification, this must be stated in the conversation. Confident phrasing should not substitute a verified conclusion.
Materials Are More Important Than the Number of Questions
Gather current service descriptions, terms, limitations, and answers that employees are willing to confirm. Each changing rule must have an assigned responsible person. An old price list and a new page with contradictory terms create a problem even before connecting the AI. How to organize website materials is discussed in the article preparing a website for search and AI answers.
Not all internal documentation is suitable for answering clients. Separate public information from internal notes, negotiations, and personal data. The assistant's access to information should be limited by its assigned task. Connecting all company folders for the sake of completeness is dangerous and usually unnecessary for the first scenario.
For changing information, such as product availability, it must be decided separately where the current value comes from. Text uploaded last month does not become a live inventory count. If direct verification is unavailable, the assistant must offer clarification by an employee and not present assumptions as actual stock.
Human Handover Must Result in Action
A "contact us" button alone does not guarantee that the request will be seen. Specify:
- channel;
- working hours;
- transferred information;
- responsible person.
It is useful to preserve context so the client does not have to retell their request. The same rules apply as for website leads in CRM.
The assistant should transfer the conversation when it cannot find a confirmed answer, receives contradictory data, or encounters a question outside the agreed task. It should not be evaluated solely by the proportion of conversations without an employee: sometimes a correct handover is more valuable than an independent but incorrect answer.
How to Test the Assistant Before Launch
Prepare questions of several types:
- with a direct answer in materials;
- requiring clarification;
- with an intentionally incorrect assumption;
- requesting a discount promise, confirming an unavailable product, or revealing another client's information.
Testing must cover the boundaries of the task; convenient demo examples are few for it.
Define an acceptable result for each question in advance. This may be a precise answer, a follow-up question, or handover to an employee. Record the actual response and the basis for evaluation. The phrase "generally good" does not help determine what to fix or whether access can be expanded.
After modifying materials, repeat testing for affected questions. A new condition may contradict an old answer or a UI hint. For a small-scale launch, a consistent set of control dialogues and an employee responsible for reviewing errors is sufficient. It is important to preserve the examples themselves to discuss specific assistant behavior.
How to Measure Benefit After Launch
Monitor whether visitors find the necessary sections, meaningful requests are transferred, and follow-up correspondence decreases. Incorrect promises, complaints, and manual corrections must be accounted for alongside the number of conversations. Otherwise, an active assistant may create additional work instead of easing it.
To discuss AI support from trike_dev, prepare a set of frequently asked questions and approved answers. Based on these, a limited scenario can be selected and verified before expansion.
Частые вопросы ### Does every website need an assistant?
No. If information is difficult to find due to page structure, it is sometimes faster to fix the page itself.
